Description

We currently have an opening on our team for an experienced Admin Associate Clerk II to support the Department of State within the Office of Overseas Schools (A/OPR/OS) in the Bureau of Administration.
 

Title: Admin Associate Clerk II 
Rate: GS 9-3
FSLA: Non- Exempt
Location: Washington, DC
Schedule: Full time, M-F, 8:15am to 5:00pm with a 45-minute lunch break
Travel: No travel is required
Clearance Level: ACTIVE Secret clearance (DoD)

 

The Admin Associate Clerk II will assist Regional Education Officers (REOs) who are responsible for planning, developing, evaluating and implementing worldwide administrative and operational plans and programs for the schools assisting incumbent activities of the Department of State in order to assure central guidance and direction of school policies and programs. This position supports a broad range of activities in performing a variety of services to relieve the REOs of administrative details and to aid them in the performance of their duties. The competent performance of these duties requires that the incumbent work closely with the REOs and other staff officers in order to be aware of the Overseas Schools operations. This position will perform 35% travel coordination responsibilities and 65% administrative responsibilities and other tasks as assigned.


DUTIES AND RESPONSIBILITIES:

 

For the Secretary (A/OPR/OS)

  • Arrange travel (E-2solutions)
  • Create Authorizations
  • Process e-Country Clearances (ECC)
  • Obtain Visa/Visa Letters (includes travel to embassies to pick up visas, as needed)
  • Create Trip Schedule/Travel Itinerary Reports
  • Create Trip Packets: Factsheet, Most recent Trip Report, Grant History, Current Grant, CLO reports, Key Officer list
  • Edit Trip Reports upon return from trips (e-file & hard file)
  • Process travel voucher upon return from trips
  • Create hard file for trips

 

Grants (Assist Program Analysts)

  • Create grant application for each school in SAMS
  • Upon approval from finance, send out grants to schools and posts
  • Receive signed grant from school and upload into SAM
  • Print signed grants
  • Print copy of original grant (yellow and plain)
  • Create grant folders
  • File grants

 

Team Duties

  • Maintain REO/Team calendars
  • Coordinate REO appointments
  • Create Briefing Folders
  • Send out domestic and international mail
  • File school information in permanent files
  • Administrative duties for REOS, to include but not limited to: processing of other receipts and business cards, obtaining passports, processing government forms, connecting calls

 

Front Office Duties

  • Check main line voicemail and faxes
  • Answer main phone & open main door for visitors
  • Pick up guests from 2nd floor
  • Receive mail & distribute
  • Pick up packages from the mail room
  • Log on to unused computers (monthly)
  • Update Activity Security Checklist (monthly)
  • File library materials
  • Other duties as assigned

 

MINIMUM EDUCATION / QUALIFICATIONS:

 

  • 3 to 5 years’ experience in an administrative role with a preference for travel coordination experience
  • Associates degree or higher preferred
  • Familiarity with and willingness to quickly master the E2 Travel System
  • Possess excellent organizational and multi-tasking skills and detail oriented
  • Knowledge of Department of State systems and processes preferred
  • ACTIVE Secret clearance (DoD)
